In today’s digital age, technology has revolutionized how we conduct various transactions, including legal processes. Remote online notarization is one such innovation that has made signing and notarizing documents easier and more convenient than ever before. This is an overview of what to expect during a remote online notarization and a guide to help you through the process step by step.

What Is Remote Notarization?

The Remote Notarization Process is having a document notarized without being physically present before a notary public. It leverages technology to enable a secure and convenient notarial process, eliminating the need for in-person meetings. Through video conferencing and digital tools, remote notarization provides a seamless and efficient solution for verifying and validating important documents.

Process Overview

Let’s walk through a typical remote online notarization process.

Document Preparation and Signix eNotary Florida Online Signatures:

  • The notary will prepare your documents and upload them to the Signix eNotary Florida Online Signatures platform the day before your signing. You will receive an email containing a link to access your documents.

Account Creation:

  • To access your documents, click on the link within the email. This will take you to a secure platform. Create an account and set a password. However, refrain from signing the documents until the scheduled meeting with the notary.

Legal Consent and Review:

  • Once logged in, you will be presented with a screen where you can review and agree to the legal consent. You can read it thoroughly or proceed by clicking the “accept” circle.

Creating a Password:

  • On the subsequent screen, you will be prompted to create a password for your account. Ensure it includes an uppercase letter, a lowercase letter, a number, and a special character. This step enhances the security of your account and documents.

Capacity Questions:

  • Next, you will be asked questions regarding your capacity to proceed with the notarization. Answer truthfully by clicking “no” if the answer is negative. A reset may be necessary if any “yes” answers are given.

Document Signing:

  • After confirming your capacity, you will gain access to your documents in demonstration mode. Clicking “go” will lead you to the areas that require your signature. Click the blue “sign” button to input your name to sign automatically. Initials may be required for certain sections, marked by blue initials.

Opting Out:

  • Some paragraphs within the documents may offer the option to either initial or opt out. If you choose not to initial, click the purple “opt-out” button. You can undo this action if you change your mind.

Completion and Sharing Screen:

  • Once you have signed all the necessary areas, you will reach the “finished signing” screen. Click “Finish” to conclude the process. During the Zoom call, you will be required to share your screen. To do so, click the green “Share Screen” button, select the appropriate option, and click the blue “Share” button. Remember to stop sharing your screen by clicking the red “stop share” button when finished.
